Loaves & Fishes’ mission is to provide nourishing food with respect and dignity to all who seek assistance, while offering robust opportunities for community engagement through volunteerism, partnerships, and nutrition education. Our vision is to ensure that all our neighbors have access to adequate food.
This new position will help us better support a growing need for Loaves & Fishes’ services in the greater Charlottesville community. 
Duties:
The Assistant Director will champion the organization’s values and help Loaves & Fishes fulfill its goal of combatting food insecurity in our community. The Assistant Director will work with the Executive Director to accomplish strategic goals, help oversee the pantry’s day-to-day operations and serve as proxy for the Executive Director as needed.   
Specific responsibilities include:
Managing Human Resources:  Assist with position postings; review applicant qualifications for interviews; perform new staff onboarding. Review and approve bi-weekly payroll submissions. Oversee policy development/implementation, employee communications, compensation plan, professional development, and benefit programs (health insurance and retirement plan). Collaborate with HR Committee on initiatives.
Leading Information Technology functions: Maintain IT and communications system including internet/Wi-Fi, phone, video conferencing, and security cameras. Manage Microsoft 365 (email, Word, Excel, SharePoint) and Zoom admin functions. Use Bloomerang and VolunteerHub for donor and volunteer tracking. Update and maintain WordPress website.
Fundraising: Enter donor checks in Bloomerang and prepare for bookkeeper’s deposit. Compose monthly thank you letters to donors and generate weekly gift acknowledgments. Collaborate with the Executive Director in actively seeking funding opportunities and stewarding donors. Analyze fundraising audience and develop strategies for sustaining annual operating expenses. Manage stock gift receipt and sales. Collaborate with Outreach & Development Committee of the board in developing consistent, compelling messaging about the pantry’s services. Prepare annual report for review and approval by Executive Director and Board Chair. Allocate Neighborhood Assistance Program (NAP) credits and prepare NAP credit application and donor paperwork.
 
 
 
Administrative: Order office supplies. Answer phone when needed; check and respond to voice mails. Approve invoices for payment. Manage official company records and documents.
Position Specifications:

  • Salaried, full-time position that reports to the Executive Director.
  • Upholds and embodies the values and policies of the organization.
  • Willing to work flexible hours required to meet the needs of programs and volunteer groups.
  • Attends Board and committee meetings, retreats, and other events as requested by the Executive Director.
  • Serves as an advocate for Loaves & Fishes and its patrons. Able and willing to share our story with the community and guests.
Minimum Qualifications, Knowledge, Skills, and Abilities
  • Bachelor’s college degree.
  • Demonstrated Fundraising/sales/marketing experience and writing experience.
  • Demonstrated planning, organizational, and customer and program management skills.
  • Skilled in communications and networking.
  • Able to multi-task in a fast-paced changing environment.
  • Knowledge of Microsoft365 administrative functions.
  • Experience extracting and presenting data and metrics to develop creative solutions using various data sources.
  • Prefer grant writing, volunteer/board management, and non-profit experience.
