Wedding and Event Sales Manager for Montfair Resort Farm- Part -time 30 hours per week
Job Description:
The Wedding and Events Sales Manager has the primary responsibility of booking events and coordinating successful events for Montfair’s customers. Person must be both an independent worker and a team player to be successful. Event Manager will coordinate the direct sales and promotional efforts to ensure growth of wedding, events and accommodations sales to help create a profitable sustainable resort. Employee will assist couples and their guests’ arrival on site for successful, beautiful and memorable events and stays.
Key activities performed by event sales managers include booking events, customer relationships, logistic oversight, public relations, revenue management, and communications. They will prepare contracts for clients and maintain well-organized event records. The events manager facilitates couples in obtaining their own event coordinators and vendors. Event sales manager builds and maintains working relationships with our team and community partners.
Employee will collaborate with Marketing Director to create strategic sales and marketing plans for packages and accommodations. Employee will develop and meet monthly sales goals. Employee will be on site prior to and day of to assist in event preparation with the team and be onsite for day of execution of event as well as facilitate communication for Evening Event Supervisors. Responsibilities include but are not limited to:
Responsibilities of Event Sales and Marketing Manager:
- Field incoming event emails and calls to facilitate tours/site visits.
- Convert inquiries into booked events to increase revenue.
- Execute contracts and track payment schedules, reminder letters and other customer correspondence.
- Continue to develop and nurture key relationships with our team, customers, partners and community.
- Wedding and Events Sales Manager will facilitate an onsite “walk through” for each event to include client and vendors
- Saturday is a required workday during event season. Must be willing to work holidays.
- Communicate to customers Montfair’s wedding and event options, rates and procedures in clear and welcoming manner.
- Act as main contact for client and build a positive relationship throughout the booking, contract selection process, fulfilment of event and follow up for future.
- Negotiate reservations, contracts and supplemental materials.
- Answer customer questions in a timely manner striving to enhance their experience at Montfair and their relationship with local vendors.
- Assist in office activities such as answering phones, and various clerical requests.
- Greet visitors and give wedding tours during weekdays and weekends.
- Love Weddings and Events and helping people create the event of their dreams
- Actively pursue new clients and maintain quality relationships with existing clients.
- Maintain a competitive edge with local accommodations and event spaces.
- Maintain Wedding Advertising Directories
- Maintain database for tracking customers, mailing list requests.
- Track marketing efforts through the production and analysis of statistical marketing data.
- Collaborate with social media team to create and informative blog and social media entries.
- Create a wide variety of materials (correspondence, reports, and forms. Use judgment to edit written work. Independently prepare correspondence.
- Maintains calendar, schedules, appointments and meetings.
- Attend and represent Montfair at community events with the Charlottesville Wedding Society, Charlottesville Albemarle Convention and Visitor’s Bureau, The Charlottesville Chamber of Commerce.
- Must have physical stamina for walking tours and event day preparations.
- Due to the cyclical nature of the hospitality industry, employee will be required to work varying schedules to reflect the business needs of the facility.
- A person with relationships with in the tourism and wedding community is a strength.
- Time off during the wedding season is supported through advance planning and team coverage.

- Experience with Word Press or other website creation platforms
- Previous experience in tourism, hotel or wedding industry a plus
- Strong work ethic and passionate about achieving results
- Strong interest in Weddings and Eco-friendly and Sustainable Business Development and Practices
- Tech-savvy and excited to utilize industry standard software, including proficiency with Microsoft Word, Excel, Dropbox, Google Mail and excited to learn new programs as needed.
